DealerX dealerships and sources

Overview

Dealerships are your stores. Sources describe where a lead came from, such as a walk-in, a phone call or a website form. Both pages are under DealerX and are available to Owners and Admins.

Steps

Add or edit a dealership

  1. Go to DealerX → Dealerships.
  2. Click Add dealership, or Edit next to an existing one.
  3. Fill in Name (required), Address, Phone and Time zone (a new dealership starts with your account time zone).
  4. Under Business hours, keep Use the account default hours or untick it and set each day's open and close time; tick Closed for days off.
  5. Click Save.

Connect the dealership's number, inbox and inventory

On the same dialog:

  • SMS number: pick one of your Twilio or Vonage numbers (added under Chat → Channels). Texts to it land on leads of this dealership and, when the AI sales assistant is on, are answered by it.
  • Inventory knowledge base: the knowledge base the assistant answers vehicle questions from (set it up under AI → Knowledge bases).
  • Email display name and Reply-to email: how outbound emails from this dealership introduce themselves.
  • Fixed assignee: unassigned new leads of this dealership go to this person, unless their source has its own fixed assignee. See DealerX lead assignment.
  • Inbound lead URL: where lead providers and website forms post leads (JSON, ADF/XML or plain text). See DealerX e-leads.
  • Lead inbox address: forward your lead inbox to it; e-leads become leads and customer replies land on their lead. It is shown once inbound email is configured on the server.

Deactivate a dealership

Click Deactivate and confirm. The dealership is no longer offered for new leads; existing leads keep it.

Manage sources

  1. Go to DealerX → Sources. The first visit fills the list with the standard sources, grouped by General, Internet, Location, Phone, Referral and Service.
  2. Click Add source to add your own: Name, Group, whether it is an E-lead (internet lead) and whether it is Active. A Fixed assignee sends every new lead from this source to one person.
  3. Click Edit to change a source or Delete to remove one.

A source that is already used by leads cannot be deleted. Untick Active instead; it disappears from the pickers but stays on old leads.

Restore defaults adds back any standard source you removed, without touching your own.

Tips

  • Walk-In is the default source of a new lead.
  • E-lead sources mark leads as internet leads, which the dashboard counts separately.
