Manage employees and availability

Overview

The Employees page lists everyone visitors can book with, shows how each person's calendar is connected, and lets you set individual hours and busy times. AtomicX Chat only offers times when at least one active employee is free, so keeping this page up to date keeps your booking accurate.

Open it from Calendar → Employees. Owners, Admins and Users can all manage employees.

Each employee has a calendar status badge:

Badge Meaning
Connected · Microsoft or Connected · Google The employee connected their own calendar.
Org-wide Uses your organization-wide Microsoft 365 or Google Workspace connection.
Manual No calendar connected. Availability comes from their hours minus the busy times you enter.
Reconnect needed Calendar access stopped working, for example after a password change or revoked access.

Add an employee

  1. Go to Calendar → Employees.
  2. Enter the person's Name and Email.
  3. Click Add employee.

If your organization uses a whole-organization Microsoft 365 or Google Workspace connection, new employees use it automatically and show Org-wide. Otherwise they start as Manual.

Connect an employee's own calendar

  1. Find the employee and click Send connect link.
  2. The employee receives an email titled "Connect your calendar for" your company, and clicks Connect my calendar.
  3. They choose Microsoft 365 / Outlook or Google Calendar, sign in and approve access.
  4. Their badge changes to Connected.

The link is valid for 7 days. If it expires, send a new one.

Check or remove a connection

  • Click Test to check that AtomicX Chat can read the employee's calendar right now. A message confirms the calendar is reachable or explains why the test failed.
  • Click Disconnect to remove an employee's personal calendar connection. This option appears only for personally connected calendars.

Set individual hours

  1. Click Hours & busy times next to the employee.
  2. Tick Use own weekly hours (instead of company hours).
  3. Tick Open for each day they work and set start and end times.
  4. Click Save hours.

To go back to company hours, untick the box and click Save hours again.

Add busy times

Use busy times for time off, meetings or other blocks, especially for employees without a connected calendar.

  1. Click Hours & busy times next to the employee.
  2. Under Busy times, fill in From, To and an optional Reason. Times are in your browser's local time zone.
  3. Click Add.

To delete a busy time, click Remove next to it.

Pause an employee

Untick the Active checkbox to stop offering an employee without deleting them. Tick it again to bring them back.

Tips

  • If an employee shows Reconnect needed, click Send connect link. For whole-organization connections, repeat the consent or verification in Calendar → Calendar setup.
  • With Google Workspace, the employee's email must be in your verified domain, or Test fails.
  • If chat says there are no open times, check that employees are Active and that their hours and busy times leave free slots.
