Zapier integration
Overview
The Zapier integration sends each new lead from your chats to Zapier, so you can add it to a Google Sheet, create a contact in your CRM, add it to an email list, or post it in Slack, without writing code.
A lead is a conversation where the visitor shares an email address or phone number for the first time. Each conversation creates at most one lead, even if the visitor later adds a phone number to their email or corrects a typo.
Leads reach Zapier within a few seconds. Unlike the Webhook integration, you don't need Zapier's premium Webhooks by Zapier app.
Before you start, you need:
- The Owner or Admin role in AtomicX Chat.
- A plan that includes Integrations.
- A Zapier account.
- A chat that asks for an email or phone number, for example with a contact form or a workflow question. See Workflow node types.
Steps
Step 1: Create an API key
- Click Settings in the sidebar and open the Integrations tab.
- On the Zapier card, click Connect.
- Under Key name, enter a name you'll recognise, for example
Zapier – Marketing. - Click Create API key.
- Click Copy and keep the key somewhere safe for the next step. The key is shown only once. If you lose it, create a new one.
Step 2: Connect AtomicX Chat in Zapier
- In Zapier, create a new Zap.
- For the trigger, search for AtomicX Chat and choose the New Lead event.
- When Zapier asks you to connect an account, paste your API key into API Key and continue.
- Zapier shows the connection under your AtomicX Chat account name.
Step 3: Test the trigger
- Click Test trigger. Zapier shows up to three of your most recent leads.
- If you have no leads yet, start a conversation in Test your chat, give an email address, and click Test trigger again.
- Pick a lead to use as sample data.
Step 4: Add your action and turn the Zap on
- Add an action, for example Google Sheets → Create Spreadsheet Row.
- Map the lead fields (see below) to the action's fields.
- Publish the Zap. From now on, each new lead runs it.
The Active Zaps count on the Zapier page in AtomicX Chat goes up by one for each Zap that uses the trigger.
What a lead contains
| Field in Zapier | Description |
|---|---|
| Conversation ID | The conversation's ID. It is the same for every Zap, so you can use it to avoid duplicates. |
| Name | The visitor's name, if they gave one. |
| The visitor's email address, if they gave one. | |
| Phone | The visitor's phone number, if they gave one. |
| Collected Data | Each answer your workflow collected, by its data key (for example Collected Data Budget). |
| Page URL | The page the chat started on. |
| Chat Name | The name of the chat configuration the visitor used. |
| Created At | When the conversation started, in UTC. |
| Conversation Link | Opens the conversation in AtomicX Chat. You need to be signed in. |
A field the visitor didn't provide is empty.
Manage API keys
- See your keys: the Zapier page lists each key under Your API keys with its first characters, when it was created, and when Zapier last used it.
- Revoke a key: click Revoke and confirm. Every Zap that uses the key stops receiving leads straight away, and Zapier will ask you to reconnect. Create a new key and reconnect the Zaps you want to keep.
- One key per team or purpose makes it easy to cut off one set of Zaps without affecting the others.
Tips
- Treat the API key like a password. Anyone with it can read your recent leads.
- To send leads to several tools, add more actions to one Zap, or create several Zaps with the same trigger.
- Leads are sent when they're captured, not when the conversation ends. If you want the full transcript, use the Webhook integration with Conversations completed.
Troubleshooting
| Problem | What to do |
|---|---|
| Zapier says the API key is invalid | Check that you pasted the whole key, starting with axk_. If the key was revoked or lost, create a new one. Keys also stop working while your account is suspended for non-payment. |
| Zapier says Integrations are not included in your plan | Upgrade to a plan that includes Integrations. See Plans and subscription. |
| Test trigger finds no leads | Leads only exist once a visitor gives an email or phone number. Start a test conversation and give one. |
| A conversation didn't create a lead | Check that the visitor gave an email or phone number, and that the Zap is turned on in Zapier. Conversations that already had contact details before you created the Zap aren't sent again. |
| Active Zaps is 0 but the Zap is on | Turn the Zap off and on again in Zapier. This re-registers it with AtomicX Chat. |
