Managing team members
Overview
You can invite teammates to your AtomicX Chat account so they can build workflows, watch conversations, and step in to help visitors. You manage your team from the Team management tab on the Settings page. Only Owners and Admins see this tab. If you're a User, ask an Owner or Admin to make team changes for you.
Every team member has one of three roles:
| Role | Shown in the list as | What it's for |
|---|---|---|
| User - Standard access | User | Day-to-day work: workflows, configurations, conversations, live monitor, channels, and analytics. |
| Admin - Full access | Admin | Everything a User can do, plus admin-only pages such as Branding, Calendar setup, and AI credits (buying credits, auto-buy and credit alerts). |
| Owner - Organization owner | Owner | Full access, for the people responsible for the account. |
Some features only show up in the sidebar if your plan includes them.
Who can change what
- Admins can invite, edit, and remove Users and Admins. They can't edit or remove an Owner, and they can't give anyone the Owner role.
- Owners can manage everyone, including other Owners, and are the only ones who can grant the Owner role.
Owner - Organization owner only appears in the Role list when you're signed in as an Owner, and the Edit and Remove buttons don't appear next to Owners for Admins.
Steps
Invite a team member
- Click Settings in the sidebar, then open the Team management tab.
- Under Invite Team Member, enter the person's Email.
- Choose a Role. Only Owners can choose Owner - Organization owner.
- Click Send Invite. You'll see a confirmation, and the person appears under Team Members with the status Invited.
If the email already belongs to someone on your team, you'll see a message saying the user is already a team member.
Each Active or Invited member uses one of your plan's seats. When they're all used, you'll see "Your plan includes N users. Upgrade your plan to add more." under Send Invite, and nobody is invited. Owners also see an Upgrade your plan link to Plan & billing. Remove someone or set them to Inactive to free a seat.
Accept an invitation (for the person you invited)
- Open the invitation email and click the link.
- On the Accept Your Invitation page, enter your First Name and Last Name, then choose a Password and Confirm Password.
- Click Accept Invitation. This also confirms your email address. When your account is ready, you're taken to the sign-in page.
If the page says Invitation Not Available, the link is no longer valid. Ask your administrator to send a new invite.
Change a member's role or status
- On the Team management tab, find the person under Team Members. The list shows their name, email, role, status, and when they last signed in.
- Click Edit.
- In Edit Team Member, choose a new Role, or switch the Status between Active and Inactive.
- Click Save Changes.
Set someone to Inactive to pause their access without deleting them. Inactive members don't use a seat. To set someone back to Active, you need a free seat. If there isn't one, you'll see the same plan limit message and the member stays Inactive.
Remove a member
- Find the person under Team Members and click Remove.
- In Remove Team Member, check the name and email, then click Remove. This can't be undone.
Shopify staff access
Shopify order retrieval requires a separate permission, including for Owners and Admins. An Owner or Admin opens Shopify settings and enables the active member under Staff access. Members then use the private staff chat; the public customer widget does not provide staff access. Clear the checkbox to revoke permission. See Shopify staff chat.
Tips
- Give people the lowest role they need. Most agents who answer chats only need User.
- Keep at least two Owners, so someone can always manage other Owners and grant the Owner role.
- If an invite email doesn't arrive, ask the person to check their spam folder. If it still isn't there, remove them and invite them again.
- Ask everyone to turn on two-factor authentication under Settings → Account → Security. See Account settings and branding.
- How many users you can have depends on your plan. Owners and Admins can see how many seats are used in the Usage block on Plan & billing. See Plans and subscription.
- If the account is suspended for non-payment, only Owners and Admins can sign in, and only to pay. See Payments, invoices and account suspension.
