Set up your calendar

Overview

Calendar setup controls when visitors can request appointments with your team through chat. You set your business hours and booking rules, choose how AtomicX Chat learns when your people are busy, add the employees visitors can book with, and then turn booking on.

You need the Owner or Admin role to open Calendar → Calendar setup. If you don't see Calendar in the left menu, your plan doesn't include it. Upgrade your plan or contact support.

The setup wizard has four steps: Hours, Calendar connection, Employees and Review. You can come back and change anything later.

Step 1: Hours

  1. Go to Calendar → Calendar setup.
  2. On the Hours step, fill in:
    • Time zone: your business time zone. Working hours use this zone. Visitors automatically see times in their own local time.
    • Appointment length (minutes): how long each appointment lasts, for example 30.
    • Buffer between appointments (minutes): free time kept before and after each booking.
    • Minimum notice (hours): how soon a visitor can book. For example, 2 means nothing earlier than two hours from now.
    • Booking window (days ahead): how far into the future visitors can book.
    • Subjects (non-AI plans, comma separated): for example Demo, Support, Consultation. On plans without AI, visitors choose from this list.
  3. In the weekly hours table, tick Open for each working day and set the start and end times.
  4. Click Save, then Next.

Step 2: Calendar connection

Choose one option:

Option Best for
Employees connect individually (or manage manually) Small teams, a mix of Google and Microsoft, or no calendar at all. Each employee connects their own calendar from an emailed link, or you enter busy times by hand.
Microsoft 365 — whole organization Companies on Microsoft 365. An administrator approves once, and every employee's Outlook calendar is used.
Google Workspace — whole organization Companies on Google Workspace. An administrator authorizes once, and every employee's Google Calendar is used.

For Microsoft 365: click Grant admin consent, sign in with a Microsoft 365 global administrator account and approve the permissions. Microsoft asks you to sign in once more to confirm your organization. You return to the wizard with a green "Microsoft 365 connected" message.

For Google Workspace: in your Google Admin console, add a domain-wide delegation entry using the Client ID and Scopes shown in the wizard, exactly as displayed. Then click Verify Google Workspace and sign in with a Workspace admin account (not a personal Gmail account). Only employees whose email is in your verified domain can be booked.

For individual connections: there's nothing to do on this step.

Click Next.

Step 3: Employees

  1. Enter a Name and Email for each person visitors can book with, and click Add.
  2. Click Next.

Visitors are matched to a random employee who is free at the time they pick. You can set individual hours, busy times and connect links later on the Employees page.

Step 4: Review and go live

  1. Check the summary of your time zone, appointment length, calendar connection and number of active employees.
  2. Under Next available times, check the first five open slots. If you see "No free times found", check your hours and employees.
  3. Click Finish setup. Booking is now live for your chat. You need at least one active employee before you can finish.

After setup is complete, the button reads Save & keep live. Use it when you change settings later.

Tips

  • If times look an hour off, check the Time zone setting.
  • Each Microsoft 365 organization or Google Workspace domain can be connected to only one AtomicX Chat account.
  • If a Microsoft or Google sign-in shows an error about the application itself, contact support and include the error text.
  • Booking appears in chat only once a workflow has a Book Appointment step.
